Role Overview
This role is offered as a short term contract until 31 March 2014
Office of the General Counsel (OGC ) carries out the legal work for the Bank. As well as OGC management, there are 9 core teams, six working on Banking operations and one team each working on
(i) Finance operations,
(ii) Corporate, Recovery and Litigation matters, and
(iii) Legal Transition and Knowledge Management. Operation Administration Department and Procurement Department are also part of OGC.
Each team is headed by a Chief Counsel. The Corporate, Recovery and Litigation team had three sub-units of 5 - 6 lawyers, each headed by a Lead Counsel.
The Units deal with
(i) HR and Admin. Matters,
(ii) Institutional and Co-Financing Matters and
(iii) Recovery and Litigation matters
This role is to provide secretarial and administrative support to a senior counsel from the Recovery and Litigation Unit, and two principal counsel from the Banking Teams and to work with other support staff in the team as and when required.
Key Responsibilities and Deliverables
- Processing legal documentation and correspondence.
- Keeping the diaries; arranging internal and external meetings/seminars; receiving visitors.
- Arranging official travel and dealing with expenses.
- Drafting routine business correspondence for managers' signature.
- Maintaining the filing system.
- Typing of reports and long documentation, letters and memoranda. Photocopying.
- Preparation of documentation in connection with OGC assignments, OpsCom and Board meetings.
- Preparation and organisation of all required materials for internal and external meetings.
- Completion of OGC forms (e.g. outside counsel forms, commitment and safekeeping memoranda).
- Dealing with telephone calls, handling queries whenever possible.
- Liaising with outside counsel and Bankers
- Acting as point of contact during absence of lawyers and where appropriate handling issues in their absence.
- Screening and sorting of mail into order of priority for lawyers.
- Co-ordinating secretarial and administrative tasks within the Team.
- Ad hoc secretarial and administrative duties as required.
Essential Skills, Experience and Qualifications
- Minimum four years' secretarial experience, including at least one year's experience in the Bank. Experience in a legal/business environment would be preferable.
- Fluent English, both written and spoken.
- Familiarity with English legal/business terminology and documentation.
- Fluent spoken and written Russian desirable but not essential
- Excellent, accurate typing skills (65wpm).
- Computer literate: Windows NT: Microsoft Outlook, Word, Excel, PowerPoint.
- Attention to detail and an eye for accuracy.
- Self-starter - ability to use own initiative, prioritise and work independently.
- Good organisational/administrative skills.
- Good communication skills, including pleasant and efficient telephone manner.
